Executive Assistant Temp

Summary
The Executive Assistant plays a pivotal role in delivering comprehensive support to senior management. Key responsibilities include managing daily schedules, coordinating meetings and agendas, arranging travel, and processing expense reports. This is a temporary role.

Key Responsibilities:
  • Oversee a variety of administrative tasks, including managing executive calendars, facilitating both internal and external meetings, and preparing expense reports for submission. Draft and manage confidential correspondence, organize complex travel logistics with detailed itineraries, and gather necessary documentation for travel-related meetings.
  • Research, prioritize, and address incoming issues and concerns directed to executives, particularly those that are sensitive or confidential.
  • Collaborate closely with executives to keep them informed of upcoming commitments and responsibilities.
  • Organize agendas for senior management meetings, off-site events, and team gatherings as needed.

Qualifications:
  • Bachelor's degree, ideally in Business or Communications.
  • At least ten years of experience supporting C-suite executives.
  • Relevant experience in the Life Sciences sector, including biotechnology, pharmaceuticals, or medical devices.
  • Proficient in Microsoft Office, especially in creating PowerPoint presentations.
  • Basic knowledge of accounting is a plus.
  • Exceptional oral and written communication skills.
  • Outstanding organizational skills with a keen ability to manage multiple tasks while maintaining high attention to detail.
  • Strong interpersonal abilities, enabling quick rapport-building with stakeholders, including staff, board members, and external partners.
  • Capable of handling confidential information with discretion, adaptable to shifting priorities, and committed to delivering high-quality customer service.
  • Proactive thinker who identifies opportunities and suggests solutions.
  • Demonstrated ability to meet deadlines in a dynamic environment.
